Before Chasing More Leads, Fix Your Business Follow-Up Process
Many small businesses assume slow sales mean they need more leads: more Instagram reach, referrals and WhatsApp enquiries. But before spending more on marketing, ask what happened to the last 20 people who showed interest. A customer may request a price, promise to get back to you, then get buried under new chats and daily tasks. The issue is often not deliberate neglect. It is the lack of a clear system for tracking the next action after the first conversation. Track each enquiry by its source, customer need, current stage, last conversation, next action, follow-up date and staff member responsible. A simple flow can work: New enquiry → Contacted → Quote sent → Follow-up → Decision → Won or Lost. A spreadsheet may be enough for a small business, while a growing team needs one shared place to manage enquiries. Before increasing your marketing budget, review your old conversations. Some of your next sales may already be waiting for a proper follow-up.
